Five HubSpot Sales Email Templates Every Business Should Have

Here at i5 Web Design we have five standard sales templates that we successfully use in every sales process. We believe in this process so much that we also recommend our clients implement these five templates into their own sales processes, so we wanted to share them with you.
These templates allow you to personally reach your leads at every stage of your sales process and can be added into a sequence as well to make the process even easier for you and your team.
While each template can be modified to meet the needs of your own organization, these are the five templates that we have seen the most success with at each stage of our sales process
Five Sales Template Examples
1. Proactive Prospecting
This template is useful when you are reaching out to new leads. After you have done your homework on the company, you can determine if they meet the criteria of your buyer persona.
If they do, then they should be interested in your product or service. Instead of cold calling these leads and selling yourself, this template helps you to introduce yourself in a way that provides value to the lead.
As you can see in our template, we present a problem that our buyer persona or ideal customer has and then provide some educational information on solving the problem.
We offer them value through the form of free advice and information and use this email to get on their radar. While your value proposition will be different than ours, you can see how we use a proactive prospecting template to introduce ourselves to leads.
2. After First Contact
This template is useful after you've had an initial exploratory conversation with your lead. This email helps you to continue the conversation by providing additional educational information to your lead based on what you had previously discussed.
As you can see, the important part of this email is that it does not just reiterate your conversation and leave it up to the lead to reach out. It goes beyond that by not only providing additional value through educational information, but also by adding in a meeting link so the lead has an easy route to set up the next meeting or conversation.
3. Meeting or Phone Call Follow Up
Once you have had a specific conversation with your lead about how your product or service can help solve their problems, you then need to continue to follow up with the lead to guide them towards closing as a customer.
We use this template to reach out to leads after a meeting where we learn about specific problems their company is facing. This template provides them with more information about that specific topic and provides value by adding a solution to the problem.
4. Reconnecting with a Lead
Sometimes, you lose touch with a lead for a period of time. Either they weren't ready to close, it wasn't the right time, or your solution wouldn't fit with company at the time you spoke. Just because they weren't ready to close the first time you spoke doesn't mean that you should never reach out to them again.
This template is important because it allows you to reconnect with a lead by continuing to offer them something of value. It requires a little research to learn new facts about the lead and it's helpful if you reference any notes you have in their contact record to learn what their pain points were from previous conversations.
5. Breakup Email
The final email template we recommend everyone include in their HubSpot portal is the breakup email. This email is used when you have tried all the above methods to reach out to your lead but have not had any positive response.
While this email may seem a little abrupt, it is actually extremely effective in getting a response from leads. Depending on their answer, you will know if you should move forward, put them on the back-burner until they're ready, or move on.
Either way, this email helps you by allowing you to know where you stand and helps the lead by allowing you to provide them with the correct kind of attention.
By integrating these five sales email templates into your sales and marketing process, you will have standard emails for almost every stage a lead goes through in their buyer's journey. These templates will allow you to quickly reach out to prospective leads, reconnect with older leads, or simply clarify your status with a breakup email.
